1. Scope

DataJewellers means Data Doodles Tech Private Limited, the operator of the DataJewellers service ("we", "us"). These terms form part of the Terms & Conditions and describe the commercial side of a DataJewellers subscription. The Refund & Cancellation Policy sits alongside them.

Where these terms and the order or subscription agreement signed between us differ, the order or subscription agreement governs — it is the document that states your price, billing period, seats and any agreed limits.

2. A subscription from the start

DataJewellers is not offered on a free or trial basis. A business uses it under a Subscription from the day its workspace is opened, on the terms in its order or subscription agreement (section 3).

  • No card details are taken — we operate no online payment processor, so nothing is ever charged automatically; every payment is one you make against an invoice we issue.
  • A workspace is a real workspace from the first day: what you enter is yours, and stays yours.
  • If a Subscription is not paid or is not renewed, the workspace becomes read-only as described in sections 8 and 9: your records stay visible and exportable, but new sales, purchases and invoices cannot be created. Nothing is deleted at that point.
  • To see the software before subscribing, use the demonstration workspace, which holds sample data only — see the Demo Environment Terms.

3. The plan and what governs your price

DataJewellers is sold as a single plan, quoted on request. We do not publish a price list, and no price is stated in this document or on the marketing site — ask us at support@datadoodlestech.com for a quotation.

Your order or subscription agreement states:

  • the price and the currency;
  • the billing period (for example monthly or annual) and the start date;
  • the number of user seats and branches included;
  • any limits agreed for your business that differ from the standard ones;
  • whether the price is inclusive or exclusive of tax.

Nothing is charged to you that is not stated there or on an invoice we issue.

4. Plan limits, and what happens when you reach one

A subscription carries limits on:

  • users (seats), including a per-business ceiling;
  • branches;
  • items in the catalogue;
  • invoices per month;
  • storage used by uploaded files such as your logo.

When a limit is reached, the action is refused and nothing is deleted. If you are at your seat limit, creating another user fails with a clear message; if you are at the monthly invoice limit, issuing another invoice is refused. Your existing records stay exactly as they were, and everything already in the workspace remains readable, editable within your permissions, and exportable.

Limits are enforced at the moment of the action, so two people trying to claim the last seat at the same time cannot both succeed. If you need a higher limit, write to support@datadoodlestech.com and we will quote for it.

5. Invoicing

DataJewellers issues an invoice for every payment you make to us. This is not optional on our side: under the Consumer Protection Act, 2075 (2018), refusing to issue a bill, or asking for anything extra in return for issuing one, is an unfair trade practice, and the Act also expects a buyer to keep and be able to produce the bill. Our invoices state what the payment is for, the period it covers, the amount, any tax, and our identification details.

Keep our invoices with your own records: they are your evidence of what you paid for the software, and tax law requires you to retain records — at least five years from the end of the income year concerned under the Income Tax Act, 2058, and, for transaction accounts, the period prescribed under the VAT Act, 2052 and its Rules (commonly stated as six years).

6. Taxes

Prices are exclusive of tax unless the order or subscription agreement says otherwise. VAT is charged where it applies, at the rate in force, and is shown separately on the invoice, which carries the tax registration details the law requires of an invoice. If your business is entitled to a different tax treatment, tell us before we invoice and give us the details we need to apply it.

Taxes on your own sales to your own customers are your responsibility, not ours — see the Terms & Conditions.

7. Payment

We operate no online payment processor. There is no card checkout in DataJewellers, we hold no card numbers and no bank credentials, and no payment is ever taken automatically.

Payment is made by bank transfer, or another method stated on the invoice, by the due date shown on it. Please quote the invoice number so we can match the payment. Where DataJewellers records payments against your own customers' invoices, those are records your business keeps — the software does not move money.

8. If payment is late or fails

We would rather talk to you than switch anything off. The sequence is:

  1. Reminder. We contact the billing address on your account after the due date.
  2. Past due. The subscription is marked PAST_DUE. Everything keeps working.
  3. Grace. The subscription moves to GRACE, a further period stated in your agreement. Everything still keeps working, and we will have written to you at least once more.
  4. Suspended. If the invoice remains unpaid, the subscription becomes SUSPENDED and the workspace becomes read-only. Records stay visible and exportable; new sales, purchases and invoices cannot be created.

Nothing is deleted at any step. When the outstanding amount is paid, we reactivate the subscription and the workspace returns to normal — usually the same working day. If the workspace is later archived, the retention sequence in the Data Retention & Deletion Policy applies, including the 90-day period before a purge can happen.

9. Cancellation

You may cancel at any time, by writing to support@datadoodlestech.com from an address we hold for your business, or by asking us in a support ticket.

  • Cancellation takes effect at the end of the period you have paid for, unless you ask for it to take effect sooner.
  • After that, the workspace becomes read-only, not deleted.
  • Export your data — CSV, Excel or PDF from the screens, and a JSON export per entity from Settings → Legal & Privacy. Do this before asking us to close anything.
  • If the workspace is archived it is scheduled for purge 90 days later, and the purge is a deliberate manual act by an operator, not an automatic job.
  • Whether any part of a prepaid period is refundable is dealt with in the Refund & Cancellation Policy and your order or subscription agreement.

10. Renewal and price changes

Renewal happens as stated in your order or subscription agreement. Because we take no card payments, a renewal cannot be charged silently — you receive an invoice and choose to pay it.

We do not increase prices silently. Any change to your price takes effect only from a renewal period, and only after we have given you written notice before the renewal — no less than 30 days, unless your agreement states a longer notice. If you do not accept a new price, you may decline to renew and cancel, and the read-only and export sequence above applies.

11. Changes to these terms

We publish changes with a new version number and effective date, and older versions stay readable at /legal/subscription/v/<version>. A change here never alters the price or period already agreed in your order or subscription agreement.
