How Barcode-Based Jewellery Inventory Management Works

Barcode-based jewellery inventory works by printing each piece’s item code onto its tag as a barcode, so that identifying the piece is a scan rather than a search. The barcode itself carries only that code; every weight, purity and price is looked up live from the record behind it, which is why the tag never goes out of date.

What a jewellery barcode actually contains

One string: the item code. RNG-22-0873, or whatever pattern your shop uses. That is the whole payload, and the restraint is the point. A scan is a lookup, and everything a member of staff needs — category, purity, gross, stone and net weight, location, whether the piece is in a repair job or on a transfer — arrives from the record the moment the code resolves.

Why the barcode does not carry the price

Because the price does not exist yet when the tag is printed. A piece of gold jewellery is priced from the metal rate on the day it sells, plus making, plus wastage, plus any stone value, minus whatever discount is agreed at the counter. Print a price onto a tag and it is wrong the following morning; print a weight and purity and you have a tag that has to be reprinted every time a stone is reset or a piece is repaired.

The weights do get printed on the tag as human-readable text, because a customer reasonably wants to read them and a member of staff wants to check them against the scale. But the barcode carries the code, and the code is what the system trusts.

What goes on the printed tag

A jewellery tag is small, so the contents are a real decision rather than a preference. A typical face holds the code as a barcode and these lines as text.

Why CODE 128 suits jewellery

CODE 128 is a linear barcode symbology that encodes the full set of letters, digits and punctuation, which matters because jewellery item codes are rarely pure numbers. A pattern like TLH-24-0042 needs letters and hyphens, and a numeric-only symbology would force you to give every piece a meaningless number and keep a translation table in somebody’s head.

It is also compact for short strings and prints acceptably on the narrow stock jewellery tags are cut from. Two practical notes on printing. Keep a quiet margin of clear space at each end of the bars, because a scanner needs that blank run to find the start and end of the symbol. And print at the largest width the tag allows: a barcode squeezed to fit beside a logo is the single most common reason a scanner refuses a tag that looks perfectly clean.

Scanning with a phone camera or a USB scanner

Both work, and they suit different moments rather than different budgets.

  • A USB scanner at the counter is the right tool for billing. It behaves as a keyboard: the code appears in whichever field has focus, followed by a return, so scanning a tag adds the line and the next scan adds the next. It is fast, it needs no aiming, and it does not tire.
  • A phone or tablet camera is the right tool away from the counter — a stock audit in the strong room, a transfer being packed, a piece being checked in a display case. It goes where the stock is, which a cabled scanner does not.

Neither is a different system. The same code resolves to the same piece, so a shop can scan with a camera during a count on Friday and with the counter scanner on Saturday without reconciling anything.

What a scan does at the till

It puts the piece on the bill with its own weights, and then the arithmetic follows from the record rather than from the person: metal value from the day’s rate against the net weight and purity, making and wastage as their own lines, stone value separately, discount where it is agreed, and tax on top according to your configured settings. A scan also means the piece leaves stock at the moment it is billed, which is what makes the register agree with the tray at the end of the day.

What a scan does on a transfer and in an audit

On a transfer between branches, scanning is how both ends describe the same parcel. The sending branch scans what it packs and the receiving branch scans what arrives, and a piece that appears on one list and not the other is visible immediately rather than at the next count.

In a stock audit the scan is the count. You work through a tray or a rack, scanning each piece, and what you get at the end is not a total but a comparison: which pieces the register placed in that section and did not find, and which pieces were found where the register did not expect them. Both halves of that are useful, and the second half is the one a handwritten count always loses.

Tags that go missing, tear or will not scan

They will, and a system that only works with a readable tag is not a working system. Three habits cover it.

  • Type the code. The barcode is a convenience over the item code, never a replacement for it, so every screen that accepts a scan also accepts the code typed by hand — which is why the code needs to be short enough to read off a tag with a torn corner.
  • Search by what you can see. A piece with no tag at all can be found by category, purity and weight. A 22K ring at 6.130 g net narrows to very few candidates, and the surviving weights on the piece are the search key.
  • Reprint, do not renumber. When a tag is damaged, print a new tag with the same item code. Giving the piece a new code breaks its history: the purchase it arrived on, the repair it went out for, the audit it was counted in.
